Help Screen for Appointments
Overview
The appointments menu draws its information from entries you make into this ì
item in the Activity file:
"DATE OF NEXT APPOINTMENT: 01/01/1901"
If you have no follow up appointment date, then leave the default date of ì
"01/01/1901" alone. That default date is just a way of telling the ì
computer that you have no future appointments caused by this one activity.
If, however, you do have a future appointment, then enter that date into ì
the Activity file. Later on, when you want a schedule of appointments, ì
then come to this Appointments menu.
This menu creates five reports and one graphics image of any 14 day period ì
that you wish to examine.
[NOTE: any reference in the report options to "today" means today as ì
defined by the system date.]
==============
OPTION 1:
==============
This option prints out a schedule of all historical appointments. If you ì
select this, then all appointments you made prior to today are printed out.
==============
OPTION 2:
==============
Option 2 shows those appointments scheduled for today. This is the most ì
useful report because it shows you what is on the agenda for today, ì
regardless of when you set up the commitment in the past.
==============
OPTION 3:
==============
Option 3 prints out all future appointments, excluding today's. This is ì
handy if you wish to review what you have committed to in the future.
==============è | OPTION 4: |
==============
Option 4 prints out all future appointments, including today's.
==============
OPTION 5:
==============
Option 5 displays a graphics image of bars and symbols to show you what ì
appointments you have for any 14 day period. This is handy if you want to ì
review different periods in the future for "load" and "load leveling" of ì
your appointments (re-scheduling of your appointments to level out your ì
work load).
This option is intended as display-only, unless you have a graphics printer ì
to which you "dump" the image by pressing [SHIFT] [PRINTSCREEN].
==============
OPTION 6:
==============
With this option, you enter the start and stop dates for the schedule of ì
appointments that you wish to print out. It defaults to 1/1/1901 to ì
12/30/2999.
==============
OPTION 7:
==============
Option 7 is similar to option 6 in selecting out any period of appointments ì
for you to print out. It differs, though, in selecting out only those ì
appointments that have gone UNPROCESSED. Records are marked 'processed' ì
only if you use the CALLBACK option on the Activity File screen.
==============
OPTION 8:
==============
8) List of Priorities, if any [by date]
Each Client record has, in its lower right corner, a field for 'Priority, ì
if any'. You can enter any value you wish or leave it at zero. Once you ì
have done that, this option will rank all Client records in ascending ì
order.
==============
OPTION 9:
==============è
Option 9 shows those appointments scheduled for tomorrow. This is a useful ì
report because it shows you what is on the agenda for tomorrow, regardless ì
of when you set up the commitment in the past. Similar to option 2.
==============
OPTION A:
==============
Select Appointments for any day, with ALL associated activities:
With this powerful feature, the program first asks you for the date of your ì
desired appointments list. Once you enter a date, the program prints out ì
two reports: 1) an appointments list for that day you requested, and 2) an ì
historical activities report that shows ALL activities that occurred prior ì
to your requested date for those companies and ONLY those companies that ì
appear on the appointments list.
==============
OPTION B:
==============
Select start/stop date for Appointments, with Category Consolidation
This selection is similar to Option 6, except that you can consolidate the ì
activity records by categories: either a continuous range or a non-ì
continuous grouping of them.
Note that this Category Consolidation logic is available in these three ì
locations in the program:
'Reports for Clients and Activities'
[Main Program Menu, Selection 3]
'Appointments Menu'
[Main Program Menu, Selection 7]
-----> where you are now <-------
'Base Station/Remote Site Consolidation Menu'
[Main Program Menu, Selection 9]
==============
OPTION C:
==============
C) Insert memo into reports:
èThis option will insert the memo field into the reports generated by the ì
report options on this menu. Once selected, you can specify the number of ì
characters brought into the report from each memo.
==============
ⁿ OPTIO╬ D║ |
==============
"D) Insert Callback info: "
Selects 'Unprocessed' or 'Processed' info to display from Callback data.
